¨ Do you understand the importance of a Day Sheet for your office? A Day Sheet is an important record that should be completed and balanced on a daily basis. You should have all transactions recorded and balanced and the employee that balances the page should sign off on it if you have a paper copy. Once a Day Sheet is balanced, no changes should be made on that day. If any adjustments need to be made on an account, they should be made on a subsequent day’s Day Sheet and signed off on. This is an important measure of controls for the accounting process in your office. Doctor or bookkeeper should regularly review the Day Sheets to make sure that this policy is strictly followed. If you need a paper copy of a good, basic Day Sheet, email PracticalCA@Practicalpracticing.com and ask for a copy. ¨ For non-electronic offices, at the end of the day, the sign-in sheet, the treatment notes and the Day Sheet should all be balanced together. When you check the treatment notes to the sign-in sheet (making sure that everyone has signed in;) and then the sign-in sheet to the Day Sheet (making sure that all visits are recorded.) Be sure to note any charges or payments that were not recorded on charts such as nutritional products or mail in payments. ¨ How well do you keep up your appointment book/schedule? A very important PracticalTip is to NEVER completely remove a patient from the appointment book. If a patient misses or calls to cancel an appointment, do not erase or delete their name UNLESS they are being placed in another slot. This way, you have a record of all missed appointments and it makes it easier to keep someone from slipping through the cracks. Examples: If a patient calls to reschedule an appointment, you can move their name from one time slot so long as you are putting it into another slot. However, if a patient calls without rescheduling, or does not show up without rescheduling, do not erase/delete their name. Simply put a note that they missed or were a “no-show.” It’s a good idea to have a certain color to highlight any missed appointments or cancellations. This way, when you look back in the book for missed appointments, you will have a quick record. Missed appointments and no-shows should be tracked regularly in with other data. |
